Currently an employment opportunity exists in our Information Technology Department for a full time Application Administrator. Reporting to the Director, Information Technology, this position is responsible for administrating and supporting the ticketing and CRM application, Tessistura. The individual will be the primary contact for the Tessitura Software System, maintain the SQL database , develop reports, custom screens and queries., and lead the Tessitura Team that oversees procedure and protocol implementation, documentation and training.
MAJOR RESPONSIBILITIES INCLUDE: • Serve as primary point of contact, inside and outside Harbourfront Centre for all issues related to the Tessitura Software system. Provide support to staff; submit trouble-tickets and support calls to Tessitura Network as required. Maintain logs of all support issues • Work with key departmental staff to develop new reports, custom screens, and tables using Tessitura and Infomaker. Test, document, and implement reports and system customizations. Prioritize user requests for development and implementation. • Using a “Train the trainer” model, train key personnel and assist key personnel in training other departmental staff. • Lead the Tessitura Team to create and maintain documentation and policy for the correct use of the system, procedural needs, regulatory requirements (PIPEDA, PCI) and data entry standards. Promote the use of Tessitura throughout the organization. • Work with the Web Team to maintain and update the Tessitura web-server and related e-commerce web site. • Create and maintain Tessitura user logins ensuring access restrictions are met • Ensure quality control in database by providing data output reports to departmental personnel for circulation, review, and correction. Perform merges and purges on database. • Test and implement software upgrades , within the timeframes dictated by the Tessitura Network. Develop testing protocols, timelines, and standards. Direct Tessitura Team and/or key departmental staff on the testing of software. Keep staff informed of changes to the software. • Work with IT staff to provide PC, Network and systems support as required.
The ideal candidate will be a graduate of a post secondary programme in computer science or related field with 2-3 years direct experience. He/she must have experience with Microsoft SQL Server administration including writing queries, stored procedures, views, updates. Solid knowledge of .NET, XML, Microsoft XP, Word, Excel, Access and Power Point is required along with familiarity with PHP, JAVA, PERL, and Infomaker (Sybase) or other report writing programmes. Excellent communication and interpersonal skills, with a strong customer service focus, are needed to deal with a diverse group of people. Strong organizational and project management skills with the ability to set and meet priorities and deadlines are essential. The incumbent must be a self-starter, a team payer with leadership skills, have excellent analytical and creative problem solving skills and the ability to grasp new technical material quickly. This position will appeal to an individual interested in the not for profit or arts & culture field. Must be able to work variable schedules which will include evenings, weekends and overtime during events. Previous experience in fundraising, ticketing, event registration and training would be considered an asset.

The Power Plant Contemporary Art Gallery at Harbourfront Centre is Canada’s leading public gallery devoted exclusively to the art of our time and is recognized as an important centre for contemporary art in North America. Presenting contemporary art by practitioners of local, national, and international stature, The Power Plant's mission is to present and disseminate the best contemporary art in all and any media.
Currently an employment opportunity exists at The Power Plant for a full time Major Events and Donor Programmes Coordinator for a 12 month contract period. Reporting to the Head of Marketing & Development and as part of the fundraising team, this position is responsible for the planning and execution of all activities of the annual Power Ball and other signature fundraising events, executing other events such as quarterly openings and previews, rentals, donor cultivation and recognition events, and sponsorship stewardship and fulfillment.
MAJOR RESPONSIBILITIES INCLUDE:
• Develop strategies for growing and improving special events with the Head of Development & Marketing • Coordinate and oversee the production of all events including prioritizing and scheduling work, monitoring the production budget, organizing work flow, event set-ups and strikes, troubleshooting during events. • Serve as staff lead for all major fundraising events and as key contact for all Power Ball committee and volunteer functions. • Work with the volunteer co-chairs to secure sponsors, cash and in-kind for Power Ball. Ensure volunteers remain on strategy and on budget. • Source, negotiate and manage relationships with external vendors and suppliers of special events portfolio, particularly Power Ball. • Manage special events budgets and reconcile on a regular basis for invoicing and chargebacks; reconcile the special events section of monthly financial statements. • Execute membership and sponsor events with the Membership & Development Associate. • Develop strategy for gallery rentals, manage all rental events including liaising with clients. • Solicit in-kind sponsors for fundraising events and draft contractual agreements. Manage the fulfillment of in-kind sponsors and other event participants. • Liaise with Harbourfront Centre Operations, Security and Parking and other departments to coordinate pertinent requirements for events. • Service sponsorships marketing and hospitality benefits. • Obtain liquor and food permits for special events and arrange for rental services, equipment, catering, etc.
The ideal candidate will have 3 years’ experience planning and executing major fundraising and special events. He/she must have proven experience working with highly motivated and well connected volunteers and coordinating volunteer committees. Strong organization skills, attention to detail and the ability to manage multiple and simultaneous activities to meet tight deadlines are required. Excellent verbal and written communication and interpersonal skills are required to deal tactfully with a variety of people, artists and external groups and agencies. He/she must be computer literate and familiar with fundraising software, numerate with a clear understanding of financial priorities and budgets, and able to work flexible hours during events.
